Part of Selecting accounting tools and suppliers with HMRC, data and exit controls in mind

Five UK accounting tools for practices and the HMRC software finder

An unranked shortlist of five accounting tools for UK practices, from Xero and QuickBooks to Sage, FreeAgent and Dext, with criteria and HMRC's income tax finder.

Do not begin by asking which product wins. Treat selection as a sequence of gates: confirm filing needs, decide whether the work calls for a ledger or document capture, then test candidates against real client paths. This unranked shortlist of five UK-facing products is a desk-researched starting point, not a hands-on review or recommendation.

If Making Tax Digital for Income Tax is part of the requirement

Check HMRC's live compatible-software finder before treating a candidate as suitable for this filing task. A listing means the software passed HMRC's recognition process; it is not an endorsement, and it confirms only the listed tax function.

Use this result as one gate, not a general quality rating. Matching a tax function does not establish whether a product fits other accounting work, reviewer controls, integrations, support or exit requirements. Keep those needs in the practice's own evaluation rather than inferring them from a listing.

  • Rule of thumb: Treat recognition as a filing check, not a recommendation.

If you are defining what qualifies for consideration

The selection was desk-researched on 5 September 2026. Inclusion required a current supplier page aimed at UK businesses and a clear role in bookkeeping or accounting workflow. No supplier paid for inclusion, and temporary price promotions were excluded because they can change quickly.

Four products are core accounting platforms. Dext has a separate role, capturing and processing documents before they enter an accounting workflow. It should be assessed alongside the destination ledger, not scored as though it replaced one. That distinction changes what a fair comparison should test.

The names below are candidates for research, not winners. First identify the client work and practice processes that matter, then keep only options that can be tested against them. A product's broad feature list cannot replace checks of the exact plan, connections and record paths that the practice intends to use.

  • Rule of thumb: Decide what job the product must do before comparing product names.

If shared cloud records and application connections matter

Choose Xero for evaluation when shared cloud records and an application ecosystem matter. Xero's UK accounting page describes invoicing, bank transactions, reconciliation, reporting and links to other applications. Verify the intended plan's users, limits, payroll or expense elements, support route and required third-party connections.

Test the exact bank, capture and reporting routes used by representative clients. Do not rely on the size of an app-store listing as proof that a particular connection will suit the practice's process. The trial should use the same client examples and review points that will guide the final choice.

  • Rule of thumb: Choose Xero to test when shared records and connected applications are central.

If subscription boundaries affect the workflow

Consider QuickBooks Online when the product's plan structure and add-ons need close scrutiny. QuickBooks UK's presentation includes online accounting, income and expense tracking, invoices, reports and bank connections, while payroll, stock, project and user functions vary by plan.

Put the intended subscription, add-ons and accountant access into the test matrix. Check review, correction and export for both simple and complex files. Broad claims about time saved should not drive the choice unless their underlying population and method match the decision being made.

  • Rule of thumb: Test the exact QuickBooks plan and add-ons, not a generic product description.

If related supplier systems or specialist workflows are relevant

Research Sage Accounting where related Sage services are already used or supplier, CIS, stock or multi-currency workflows may be needed. Sage Accounting's description covers cloud packages for small businesses, with invoicing, banking, supplier and reporting functions that vary by plan.

Sage also sells other products, so record the complete product name and edition in procurement documents. Treat the workflows as requirements to verify at plan level, then test them with real data. A broad supplier association is not evidence that a particular package supports a required task.

  • Rule of thumb: Name the exact Sage edition, then prove the required workflow in a pilot.

If your clients span different small-business types

Consider FreeAgent as a research candidate for a small-business portfolio, but test it against the actual client mix. FreeAgent's accounting software page presents accounting and mobile administration functions, while its wider UK site covers different business types and tax features.

Check filing scope, accountant controls, bank-feed availability, attachments and exports for sole traders, partnerships, landlords and companies. Also verify any bank-account-linked access offer. A bundled price cannot make up for a client case the product does not support.

  • Rule of thumb: Let the real client mix determine whether FreeAgent merits a test.

If document collection is the bottleneck

Choose Dext for evaluation when receipt and invoice capture, document processing, storage or connections with accounting platforms are the problem to assess. Its role is to process source documents before information reaches an accounting platform, so it belongs beside the destination ledger rather than in a like-for-like ledger comparison.

Inspect image quality, duplicate handling, coding review, publication controls, error correction and retention of original evidence. Test poor-quality photographs, credit notes and unusual VAT documents as well as clean receipts. The objective is to test the document path and its controls, not just successful capture of easy examples.

  • Rule of thumb: Assess Dext with the ledger it feeds, and test difficult documents.

If you have narrowed the field to products worth piloting

Once filing and product role are clear, shortlist two or three options only after documenting mandatory requirements. The table links each need to the next check; it is a triage aid, not a score or ranking. Use the same client scenarios to compare products that remain in consideration.

Calculate full cost, review data terms and prove an export. Run the same scenario tests across the remaining options, including the precise bank, capture and reporting routes representative clients use. The decision should identify a good fit for a stated practice and date, not declare a lasting market winner.

HMRC check to shortlist

  1. Document mandatory requirements first
  2. Check HMRC live compatible-software finder
  3. Shortlist two or three products
  4. Run the same scenarios
  5. Calculate full cost and prove export

  • Pilot the bank, capture and reporting paths clients actually use.
  • Record each product's full name and edition.
  • Test poor-quality photographs, credit notes and unusual VAT documents.
  • Check HMRC's live finder for income tax filing.
  • Calculate full cost, review data terms and prove an export.
